CODE OF CONDUCT
Forty4 is more than a co-working space; it's a vibrant community of like-minded creatives passionate about their art and businesses. We foster authentic and proactive creative collaboration and networking. At Forty4, we aim to provide a productive, inclusive, welcoming, and collaborative environment for everyone. Our code of conduct applies to all areas within Forty4, and we ask that everyone using the space reads, understands, and agrees to follow it.
Code of Conduct
CREATIVE CONFIDENTIALITY NDA
As an open co-working space, you may occasionally overhear other members' business activities. By agreeing to this code of conduct, you agree not to disclose any confidential information about another member’s business, affairs, customers, clients, or suppliers. Full confidentiality terms are detailed in the members' contract and must be adhered to by all members of your team.
Creative collaboration is part of our co-working experience, and we encourage it. However, if a member's idea is publicly disclosed or used by another, it erodes trust and discourages sharing, undermining our community. Please respect the value of shared ideas and do not share them with third parties or use them as your own.
RESPECT IN THE WORKPLACE
We are a professional, inclusive, working environment and ask all our members to exercise consideration, respect and courtesy, in their speech and actions to and around others at all times. We do not tolerate aggressive or abusive behaviour on any level. Any serious or continual breaches of this code of conduct may result in your membership being terminated.
NOISE LEVELS
The Forty4 is a shared and open space where noise travels. Loud conversations can tend to be distracting to those around you. Be mindful and use your “inside voice” at all times. During group or team work, remember to keep noise to a respectful level because other people are using the same space for individual work.
PHONE/VIDEO CALLS
We all live in the ‘new’ remote world of video calling. Being in an open space means that if you are on a video call it won’t be just you who hears your call, and your caller is likely to hear everything going on around you too. Therefore, we ask that where possible, you use headphones or utilise one of the zoom rooms or meeting rooms created just for this purpose. You can book these on our online booking system Skedda.com. If you have forgotten your headphones just ask, we have headphones that you can use.
ACCESS & KEY HOLDERS
All members with full alarm access should ensure they follow designated security protocols on opening or closing of the building.
All members with full key access or entry access must not under any circumstances give their access to anyone else unless approved by the Forty4 management team. Your access key is allocated to you and you alone.
If for any reason you lose your access key or phone that contains the access app, please inform the Forty4 management team immediately.
GUESTS
When bringing guests to Forty4, keep in mind that you are fully responsible for your guest’s actions. Guests must sign the guest book upon arrival and also when exiting the building. Please ensure that guests are escorted to the entrance when they leave. We expect everyone to behave in a friendly and respectful manner in our space.
CO-WORKING WITH DOGS
Whilst we do not mind well behaved dogs visiting Forty4 with their owner, we do not encourage dogs to be brought into the co-working space on a regular basis. All dogs visiting Forty4 must be kept on their leads at all times, fully house-trained, well behaved, and not aggressive. Please make sure dogs remain with their owners and must not disrupt any other members.
DO’S & DON’TS
VISITING FORTY4
Do - pre-registered before visiting.
Do - sign in any additional guests.
Do - use the space for professional business use only.
Do - ensure the main front door is closed behind you when entering and exiting.
Do - leave any wet umbrellas by the front door.
Do - take a test if you suspect a Covid infection, and kindly ask you to refrain from entering to help us prevent the spread within the co-working space environment. We can provide a test if you need one.
Do - be aware that we have CCTV installed in the premises.
Do not - Smoke and vape anywhere on the premises or immediately outside the entrance.
Do not - use or bring recreational drugs onto the premises, and anyone under influence of drugs will be removed immediately.
Forty4 reserves the right to remove any member or guest who is causing a disturbance under the influence of alcohol or substances.
FACILITIES
Do - use the design book library. Please feel free to borrow the books but please ensure they are not taken out of the building and returned to the bookcase.
Do - keep to your time slots for booked meeting rooms so not to delay another member's booking.
Do not - remove any equipment from the meeting rooms or zoom rooms. Should something not be working please report it to a member of the Forty4 team.
REPORTING ISSUES
Do - report any spillages to the Forty4 team immediately.
Do - report any faulty equipment to a member of the Forty4 team.
KITCHEN
Do - help yourself to the complimentary refreshments, biscuits and fruit - provided for consumption within the co-working space and should not be taken home.
Do - wash up your coffee cup or dishes before leaving.
Do - use the communal kitchen and its facilities, but please ensure that you leave the kitchen as you found it.
Do not - tamper with any food left in the fridges by other members.
ENVIRONMENT
Do - keep your work desk clean and tidy and ensure any rubbish is put in the bins provided.
Do not - We have communal music playing through global speakers. If you wish to play your own music please do so through headphones.
Do - keep your desk clear if you would like it cleaned by our cleaners. If you do not wish your desk to be cleaned please inform the Forty4 team.
Do not - attempt to hang or nail anything into the walls without prior authorisation from the Forty4 team.
RESPECTING EACH OTHER
Do - be mindful of your noise levels outside the meeting rooms if they are in use.
Do not - Whilst the part time desks are shared, dedicated resident desks are off limits, so don’t pursue a book, borrow a pen, touch other members equipment or go through other people's documents.
Do not disturb - If you see someone wearing headphones or immersed in their work, don’t distract them for no reason.
Do not disturb - If you hear a private conversation between team members, respect that it is private and don’t butt in.
CAUTIONS WITH LIQUID
Do not - carry hot drinks or any liquids other than in a closed plastic bottle across the top floor walkway.
Do - ensure any liquids are kept clear of electrical equipment.
Do - When using hot water machines please use with caution and care.
SAFETY WITH ELECTRICAL EQUIPMENT
Do not plug extension leads into other extension leads.
Do not - use any damaged electrical equipment.
Do not overload extension leads with excessive plugs.
Do - If using a coiled extension lead, please ensure it is fully unwound before use.
Do not - plug fan heaters into extension leads.
Do - If you wish to use an additional heater, please gain approval first from the Forty4 management team and ensure they are turned off before leaving the premises at night.
Do not - trail cords or leads across walkways.
Do not - tamper with any audio visual equipment, electrical circuit boards, utility metres, boilers or server equipment within the building. If there is an issue please alert the Forty4 team.
Do not touch electrical items with wet hands.
ACCIDENTS & EMERGENCIES
Please ensure that any accidents are reported to the Forty4 management team immediately.
If you smell gas in any area of the building please inform the Forty4 team immediately.
If you suspect fire in any area of the building please sound alarms and inform the Forty4 team immediately.
Do not attempt to climb over the walkway bridge, mezzanine barriers or window barriers.
HEALTH & SAFETY
As a co-working space we have overall responsibility for the health and safety of our employees/members. Employees/members also have legal responsibilities to take care of the health and safety of themselves and others, and to co-operate with Forty4 to help you comply with the law.
Day-to-day tasks are delegated as per below;
Overall and final responsibility for health and safety is that of Jo Derviller, Director.
Day-to-day responsibility for ensuring this policy is put into practice is delegated to Martin Barnsley, Forty4 manager.
All employees/members have to:
co-operate with representatives of Forty4 on health and safety/first aid matters;
not interfere with anything provided to safeguard their health and safety;
take reasonable care of their own health and safety; and
report all health and safety concerns to the appropriate person, as detailed.
FIRE & EVACUATION
Each company within the building has a “duty of care” and are required to cooperate and coordinate between the studio manager or their deputies and themselves during Fire and Emergency Evacuations.
All Forty4 staff are fully trained fire marshals.
In the event of a fire, please exit the building in the safest manner possible via the nearest accessible fire exit. Our fire assembly point is across the road outside Mailbox on Oxford Street.
Please do not re-enter the building until cleared to do so by the Forty4 management team.
Please do not light or use candles within the workspace or any other open flame.
Fire alarms are tested weekly on a Friday at 10am.
All tenants have the responsibility within their demised areas for maintaining a safe place of work for their own staff, visitors and contractors.
A fire evacuation drill is carried out twice a year by a Forty4 Fire Marshall.
Never block emergency escape routes.
The emergency exit door located on the ground floor by the toilets, is for emergency use only and should not be used as a quick exit to the front door.
Emergency exits are located at the front door and at the back of the Manhattan Loft and Hunting Lodge areas. Please ensure you make yourself familiar with the emergency exits.
Only use fire fighting equipment if it is safe to do so and you have been trained to use it.
CLOSING THE BUILDING
For members who has access control please ensure you follow the below procedure when closing the building.
Ensure all lights including desk lamps are switched off.
Ensure all windows are closed both in the studios and meeting room/zoom rooms.
Ensure all heaters and air-conditioning units have been switched off.
Ensure the ground floor emergency exit door is locked
Lock the top studio door on exit
Set the alarm and exit the building
Lock the secondary lock on the outside door
Should you by accident set off the alarms please ensure you immediately notify Jo Derviller.
